Terms and Conditions

When booking the holiday home “Villa Sabbia”, you agree to the rental conditions below. Please read this carefully when booking.

These general terms and conditions apply to the holiday home located at 8670 Koksijde – Bronstraat 8. Deviations from these conditions are only possible with prior written confirmation from the owner. This written consent is stated on the booking confirmation. The tenant can therefore under no circumstances claim the application of his own general terms and conditions.

The holiday home “Villa Sabbia” is suitable for a maximum of 10 people and consists of;


Ground floor 

  • Entrance into living room
  • Spacious living space with lounge and 4 cushions, plaid, two coffee tables, loung chair, flat-screen TV, Telenet connection and fireplace wall with gas fireplace.
  • Dining table with 10 chairs
  • Kitchen with marble worktop, large induction stove (Bora), dishwasher (Atag), large oven (Atag), combination microwave oven (Atag), refrigerator and freezer (Atag), kettle (Philips), coffee maker (Krups-Nespresso), crockery ( pots, pans, glasses, plates and cutlery), and a stick vacuum cleaner (Rowenta).
  • Separate toilet

  • Bathroom with spacious walk-in shower, towel radiator and double sink
  • Curtains and roller blinds


1st floor

  • Room 3: spacious furnished room with 1 double bed (box spring type 180 x 200 cm), 2 pillows, duvet with bed linen, built-in cupboards and shelves, curtain,


2nd Floor

  • Room 4: spacious family room with 1 double bed (box spring type 160 x 200 cm), 2 single beds (90 x 200 cm), 4 pillows, down blankets with bed linen, 2 bedside tables, Velux with blackout.

The entire house (including basement) is heated by gas central heating with radiators with a thermostatic head. In addition, there is a gas fireplace in the living room.

WiFi and amplifiers are available on all floors of the house.

The house is also equipped with a fire control panel (siren) and wired smoke detection.

Security cameras have been installed around the house that are only used during periods when the house is not rented. There are 4 cameras in total (front facade, rear facade, side facade and garage entrance). We guarantee the privacy of our guests at all times.


Reservation

The tenant can make a reservation via the website, by email or via a booking platform. Any booking method is binding. When a booking order is placed, the general terms and conditions come into effect. The client of this booking is jointly and severally liable for complying with the booking steps and the rental conditions.

 

Direct bookings are confirmed by the owner by means of a booking confirmation. Bookings via online booking platforms follow the rules of the site.



Cancellation by the tenant 

The reservation is non-refundable. Only in exceptional cases can the landlord decide to refund the amount paid (or part of it). The tenant must inform the landlord in writing or by email of the reason for cancellation. The tenant is free to take out cancellation insurance with an insurance company of his choice. The costs associated with this are borne by the tenant.



Cancellation by the landlord

If circumstances force the owner to cancel due to force majeure (fire, vandalism, flooding, etc.) of the already rented holiday home, this will immediately be reported to the tenant and the owner will immediately refund the amount already paid.



Acceptance in good condition

The landlord offers the holiday home and the tenant accepts the property in the condition as it is: in good maintenance, safety, hygiene and habitability, in accordance with the applicable laws and decrees.



Destination and use

The holiday home is exclusively intended for residential use on the basis of seasonal rental. The tenant cannot make this property his primary residence. Any change by the tenant to the destination or use of the property is not permitted.

 

The property may never be sublet. The tenant is not allowed to transfer his rights. If you rent the house for a certain period, it is assumed that you and the group will use the house during that entire period. Splitting a holiday period with a second group is not permitted, certainly not without prior consultation with the landlord.

 

It is not permitted to occupy the house with more than the stated maximum number of people. If this number is exceeded, 25% of the rental amount will be charged and this will be deducted from the deposit. Children under the age of 3 are excluded from this provision. Likewise, tents, caravans or motorhomes are not permitted.

 

The contract in question has been concluded for the stated period. The tenant is not entitled to the holiday home outside this period.

 

Before use, the holiday home is completely cleaned by the landlord and offered to the tenant in a neat condition. When you leave the house, the holiday home must be returned in a tidy condition (tidy and broom clean). The final cleaning is borne by the landlord. We assume that the tenant will, if necessary, put everything back in its place before departure, the dishes have been washed and all household equipment and sanitary facilities used have been cleaned. We also expect the tenant to leave the beds as he found them. The bed linen does not have to be removed upon departure and may remain on the beds. If these conditions are not adhered to, additional cleaning costs may be charged.

 

The lessor undertakes to treat the rented property and its contents with due care in all situations. This includes closing windows and doors in case of wind/rain, closing the house in case of absence, and normal (reasonable) consumption of water, electricity and heating. In case of excessive use, this will be deducted from the rental deposit paid. Electric cars and other vehicles may not be charged via the holiday home's electricity grid. Excessive consumption will be charged.

In the event of negligence or destruction, the cost of the damage will be charged to the tenant.



Payment and conditions

A reservation is made via our website (www.sabbia.be), email or via a booking platform. The reservation only becomes final upon payment of the full stay. For all bookings, 100% of the rental price + the deposit (€ 500.00) must be paid to account number IBAN BE75 0018 5297 3216 in the name of Villa Sabbia, stating name and period of stay. As soon as payment has been received, the tenant will receive a confirmation email of the reservation.

 

The rental prices stated on the website or the booking platforms are subject to errors.

This price includes the following charges: (unless stated otherwise)

  • Rental of the holiday home
  • Final cleaning
  • Bed and bath linen as well as kitchen towels
  • Household package (toilet paper, dishwasher tablets, dishwashing product, dishcloth, sponge)
  • Wifi
  • Use BBQ (including charcoal)
  • Consumption of water, gas & electricity
  • Tourist tax
  • Environmental contribution: €10.00/stay

The landlord's obligation to provide access to the property is deferred until the rent has been demonstrably paid in full.

 

A copy of the identity card of the guests as well as credit card must be sent before the start of the stay.



Cancellation policy

Any cancellation must be communicated to the landlord by e-mail.

 If the tenant wants to cancel for any reason, he will pay the following costs;

Cancellation more than 3 months before the start of the rental period:

      • 100 euro.

Cancellation between the 90th and the 60th day before the start of the rental period:

      • 25% of the rental price

Cancellation between the 59th and the 30th day before the start of the rental period:

      • 50% of the rental price.

        Cancellation less than 30 days before the start of the rental period: 

      • 100% of the rental price.

 

If the tenant does not use the holiday home or leaves it before the end of the rental period, no refund will be made.

The tenant can take out cancellation insurance with his broker on his own initiative.

The landlord reserves the right to cancel the rental agreement if the personal data provided is incorrect.

 

If the stay cannot continue due to measures imposed by the Belgian government or another authority, the booking will be rebooked free of charge in consultation with the landlord to another available period and formula (weekend, long weekend, midweek, week, etc.). The sums already paid for the original booking will be settled with the applicable rental price for the new selected period and formula.

Any changes or cancellations by the tenant must always be communicated in writing or by e-mail, stating their name and rental period. The landlord will send confirmation of the change or cancellation by email within 7 days.


Rental guarantee 

  1. To ensure a good outcome of the rental contract, the tenant pays a rental deposit of €500 to the landlord before he can use the property. Payment is made by bank transfer together with the payment for the reservation. The deposit will be deducted from any costs incurred at the end of the stay and refunded by the owner within 14 days.
  2. The landlord's obligation to provide access to the holiday home is postponed until the rental deposit has been demonstrably paid in full. In the absence of payment, the agreement will be considered dissolved on the effective date. The rental guarantee is completely separate from the rent to be paid.
  3. After the rental period, this deposit can be used to settle any consumption costs and possible shortcomings (see also house rules). All damage determined by us will be reported by email to the person responsible for the booking. That (legal) person is also responsible for full compensation for the damage.
  4. If no damage has been caused, this rental deposit (possibly reduced by the consumption costs to be settled) will be refunded by the landlord within 14 days after the stay.



Liability 

  • The tenant is liable for damage to the holiday home caused by himself and/or by his traveling companions and/or visitors. The tenant is responsible for all forms of damage including contents as determined by the landlord at the end or after the rental period.
  • The tenant is responsible for the property during the rental period. He undertakes to keep the home neat and clean. It is recommended to check whether your own third party insurance (the “family”) provides cover for a stay in a holiday home.
  • We accept no liability to the tenants for:
  1. ​​Physical injuries that happen to you in and around the home during your stay
  2. ​Material damage to your belongings during your stay
  3. Theft of your goods during your stay

​The tenant is responsible for theft and damage to the contents if the theft occurs without traces of forced entry. In the event of theft ​without traces of forced entry, for example by not closing windows and doors when absent, the tenant is liable for the damage suffered.

  • The lessor is under no circumstances liable or responsible for any damage caused to all persons or movable property involved.
  • All damage must be reported by the tenant to the landlord before departure.
  • If there is no damage, the rental deposit will be refunded by the landlord to the tenant via bank account within 14 days after the expiry of the rental contract, after settlement of any charges or costs.
  • The owner cannot accept liability for damage caused by natural disasters, natural disasters, nuclear disasters, attacks, strikes, acts of violence and coming into contact with an aircraft or parts thereof.
  • Belgian law applies to all booking agreements and subsequent agreements. All disputes relating to this agreement will be settled by the competent court in Veurne.


Miscellaneous


  • Any printing errors in this contract, our website or other forms and documents are subject to change.
  • The landlord reserves the right to make changes by means of errata.
  • The separate house rules form an integral part of this rental agreement. Please follow all provisions strictly.
